Administrative Assistant to the Vice President of Academic Affairs



The University of Valley Forge invites application for an Administrative Assistant to the Vice President of Academic Affairs (VPAA). This is a full-time, benefitted position. Compensation is based on qualifications and experience. The position reports primarily to the VPAA.

Position Summary

  • Reporting to the VPAA, the Administrative Assistant provides administrative oversight and coordination of the operational activities for the Office of Academic Affairs and facilitates communications between Academic Affairs and other University departments. This role also oversees the scheduling of meetings and events for the VPAA.
  • A positive, professional approach, strong organizational skills, excellent interpersonal skills and ability to work using initiative are key requirements.

Essential Duties, Tasks, and Responsibilities

Provide administrative support for the VPAA and Office of Academic Affairs:

  • Maintain Microsoft Outlook calendars for VPAA
  • Manages communications and communications flow to and from the VPAA by using Outlook categorization system
  • Interaction/Communication with students, faculty, administrators, and visitors to create a warm, welcoming, supportive atmosphere
  • Provides administration to and/or manage projects, short-term and long-term planning, and initiatives; both ongoing and ad hoc


and Coordination of Office of Academic Affairs Operations:

  • Proactively assists with all administrative and operational matters within (and from) the Office of Academic Affairs, including, but not limited to tracking of personnel actions; processing of faculty payroll matters (in collaboration with Human Resources); performance reviews; leave reports; and scheduling of events and standing meetings
  • Provides leadership and training to the faculty administrative assistants

Minimum Qualifications

  • Excellent verbal and written communications skills involving high-level and detailed communications with internal and external contacts; ability to listen and simplify details, synthesize main points of larger documents to provide executive summaries
  • Ability to manage multiple projects simultaneously; project management skills, follow-up, and follow-through skills, flexibility
  • Demonstrated ability to take initiative, anticipate needs, act with diplomacy and tact, and exercise independent and sound judgment
  • Demonstrated ability to tolerate high levels of ambiguity
  • Expertise in Microsoft Office Suite; Word, Excel, PowerPoint, and Outlook
  • Ability to communicate clearly both orally and in writing – good writing and proofreading skills
  • Previous experience with CANVAS and Jenzabar is a plus

Education and/or Experience

  • Bachelor’s degree preferred
  • At least three years of related administrative experience
